Residential lettings, block management and planned property maintenance
Our lettings service starts with a survey of the property and a clear view of the rent it can realistically achieve. We photograph each room, measure the accommodation, note the condition of fixtures and finishes, and prepare an honest description that attracts the right applicants rather than the largest number of enquiries. The property is then marketed through the channels that suit its type and location, viewings are arranged around the occupants where necessary, and every applicant is screened before an offer is considered.
Vetting covers identity, affordability, employment or income evidence, previous landlord references and right to rent documentation. We contact referees directly and keep the responses on file. Once an applicant is approved, the tenancy agreement is prepared, the deposit is registered with a government approved scheme within the statutory window, and the inventory is agreed with the incoming tenant. Landlords receive a full file at the start of the tenancy and an accurate record throughout it.
For blocks of flats and shared estates we manage the communal parts and the obligations that come with them. That includes setting an annual service charge budget that reflects real costs rather than guesses, collecting contributions, and accounting for every pound spent with invoices attached. Communal cleaning, grounds maintenance, lighting, door entry systems and shared drainage are all placed on scheduled contracts so that standards do not drift between visits.
We also handle the human side of block living. Leaseholders are given clear notice of planned works, a route to raise concerns, and an explanation of how decisions were reached. Contractor attendance is recorded, insurance documents are checked before work begins, and health and safety inspections of shared areas are carried out on a fixed calendar. Where a building has an active residents group, we work with it rather than around it.
Planned maintenance is the discipline that separates a well run property from an expensive one. We begin with a condition survey that records the age and state of the roof, rainwater goods, external walls, windows, doors, below ground drainage and the principal services. Each element is given a condition rating and an expected remaining life, and the results are assembled into a rolling program that spreads work across several years.
The program sets out what will be done, when, and at roughly what cost, so that landlords can plan budgets with confidence. Seasonal tasks such as gutter clearing, external painting and heating checks are scheduled to the most suitable month of the year. Residents are given advance notice of any visit, works are signed off with photographs, and the property file is updated so that the next survey starts from an accurate baseline rather than a blank page.
Compliance is where property management becomes a legal matter, and it is where loose administration causes the most damage. We maintain a certificate calendar for every property in our care and warn landlords well before anything falls due. Annual gas safety inspections are arranged with registered engineers and the certificates are issued to tenants within the required period. Electrical installation condition reports are commissioned and any remedial work is scheduled promptly.
We also track energy performance certificates, ensure smoke and carbon monoxide alarms are fitted and tested in line with current guidance, and keep records of fire safety arrangements in communal buildings. Where a property changes use or a tenancy begins, the relevant documents are checked against the register before keys are released. Our aim is simple: no managed property should ever be operating on an expired certificate.
We collect rent on a fixed date each month and reconcile every payment against the tenancy. Where a payment is missed, the arrears process begins immediately and follows a documented sequence of reminders and conversations, with the landlord kept informed at each stage. This early attention prevents small gaps from becoming large debts and avoids the awkwardness of a problem that has been allowed to grow unnoticed.
Landlords receive a monthly statement showing rent received, costs paid and any balance held. Contractor invoices are checked against the instruction before payment, and every transaction is filed against the correct property. At the end of a tenancy the deposit is reconciled with reference to the inventory and the check out report, and any proposed deductions are supported by evidence rather than opinion.
Some properties need more than maintenance before they can perform. Our refurbishment service surveys the building, identifies what must be replaced and what can be retained, and prepares a staged plan with costs attached to each stage. We manage the trades, sequence the work so that no property is left unusable longer than necessary, and inspect at key points rather than only at the end.
Typical projects include kitchen and bathroom replacement, full redecoration, flooring, damp treatment, roof repairs and the upgrading of heating and electrical systems to current standards. Throughout the work the landlord receives progress updates and photographs. On completion the property is re-surveyed, added to the planned maintenance program, and, where the owner wishes, marketed for letting by our own lettings team so that the refurbishment pays for itself as quickly as possible.
